Hotel Policies
Stay-to-play guidelines, room blocks, and the host-hotel commitments that protect your team's experience on tournament weekends.
- Any team whose home rink is more than 70 miles from the tournament rink will be considered an out-of-town team and required to comply with MYHockey Tournaments' hotel policies and procedures. Distance is measured using Google Maps' fastest route.
- We ask that you please not contact the hotel directly for reservations - all bookings must be made through MYHockey Tournaments. Once your hotel assignment has been confirmed, you will receive an email with the name and contact information of your onsite hotel representative, who will be your go-to for any questions, changes, or special requests prior to and up to arrival.
- As a condition of acceptance to the tournament, all out-of-town teams MUST reserve rooms through MYHockey Tournaments and stay in an authorized hotel at tournament rates. No other rates (e.g., government, employee, AAA, etc.), discounts, or hotel reward points will be honored, regardless of how they were obtained. No exceptions. Failure to comply will result in expulsion from the tournament, and registration fees will not be refunded.
- A minimum of 24 room nights is mandatory (e.g., 12 rooms x 2 nights = 24 room nights). Teams that do not meet this requirement will be ineligible for semi-final or championship play during the tournament.
- Rooming lists should be submitted as soon as possible after registration - the earlier you submit, the better your chances of securing your preferred hotel. Your hotel assignment, onsite representative contact, and game schedule will be provided approximately 14 days prior to the start of the tournament. Please note that individual reservations may not appear in the hotel's system until around that time. If a family calls ahead and can't locate their reservation, no action is needed - it's on its way. Any changes after assignment should be directed to your onsite hotel representative.
- After you have received your hotel assignment from MYHockey, room block changes, additions, deletions, and special requests will all be coordinated through your onsite hotel representative. All hotels will do their best to keep your group together, though please keep in mind that special requests - including same-floor placement - may require a mix of room types (doubles, kings with pullout couches, and/or suites) and cannot be guaranteed. Teams wishing to stay at the same hotel as another team should note this on the Hotel Preferences Page; it helps if both teams submit their lists on the same day. Requests for conference rooms, team dining, or other amenities should be made directly with the hotel and are subject to availability.
- Individual cancellations are accepted up to 72 hours (3 days) prior to check-in. Cancellations made after that window will be considered a "no show" and charged one room night plus tax. Early departures are subject to fees set by the hotel, typically one night's room and tax. Teams cancelling more than 50% of their room block within one week of the tournament start date will be charged one night plus tax across their entire originally listed block.
- Hotel check-in times are typically 3:00-4:00 PM and are posted on the Hotel Information Page. Teams and individuals are welcome to arrive throughout the day or evening - all rooms are guaranteed for late arrival. An adult representative of each room should be present at check-in to provide a credit card for incidental charges. Early check-in and late check-out requests are subject to availability and must be requested directly through the hotel.
- Room types will be either 2 double beds or a King bed with a pullout sofabed, unless otherwise noted. There is no guarantee of a specific room type, and quad occupancy is the maximum. If your group includes more than four people, we recommend booking an additional room. Most hotels - Las Vegas properties excluded - will provide one complimentary room per team (for the coach, manager, or bus driver) when the required number of paid rooms is met. The comp recipient's name MUST be indicated on the rooming list or we can't guarantee it can be honored. Please refer to the Hotel Information Page for each hotel's specific comp room requirements.
Why Stay-to-Play?
As is standard practice in the youth hockey tournament industry, MYHockey Tournaments negotiates room blocks and receives a commission from partner hotels for rooms booked through our program. This arrangement is what allows us to keep tournament registration fees competitive, secure quality hotels near rinks, and maintain the operational infrastructure that supports 90+ events annually. When your team books through MYHockey Tournaments, you're directly supporting the tournament experience, and rates within our program are often lower than what you'd find booking independently during a busy tournament weekend.
Conduct & Zero Tolerance Policy
The team contact is responsible for sharing the following guidelines with all players, coaches, parents, and guests prior to arrival. MYHockey Tournaments takes the comfort and safety of all hotel guests seriously. Violations of these guidelines are subject to disciplinary action, up to and including immediate removal from the hotel and tournament with no refund of registration fees.
- Children must be accompanied by an adult in hotel common areas, including pools and fitness centers. Minors may not be left unsupervised at the hotel at any time.
- Running in hallways, lobbies, and common areas is not permitted.
- Respectful behavior toward hotel staff is required at all times; disrespectful conduct will not be tolerated.
- Disturbances to other hotel guests will not be tolerated and may result in removal.
- Any damage to hotel property will result in charges for the actual cost of repairs or replacement, and may result in removal from the tournament.
- All teams are required to abide by each hotel's posted rules and code of conduct in addition to the guidelines above.
By registering for a MYHockey Tournaments event, your team agrees to abide by all hotel policies outlined here. Thank you for helping us maintain a great environment for everyone.
